Complaints Procedure

We stand for quality, care, and transparency and attach great importance to your satisfaction as a client regarding the final result. Nevertheless, we understand that things can sometimes turn out differently than expected. In such cases, it may happen that you have a complaint. We want to emphasise that we take every complaint seriously and that your data will be treated strictly confidentially.

When a complaint arises, we will always strive to discuss with you how we can address the dissatisfaction. We view complaints as learning moments and recognise that there may have been a misunderstanding.

Should the unfortunate situation arise that you are still not satisfied, we have developed a specific complaints procedure. We want to emphasise that filing a complaint and the entire procedure are free of charge and that no legal assistance is required. You can submit your complaint in writing via e-mail to [email protected] (your e-mail will be forwarded to the management of the hair clinic).

What is the Complaints Procedure

1. Upon receipt of your complaint, Hairtec Hair Clinic will contact you within three working days to get a clear picture of the nature of your complaint. We will treat your complaint confidentially and would like to learn from you what went wrong in your opinion.

2. This is followed by a conversation between you, the doctor and the head of the treatment team that performed your treatment. Our starting point is to resolve the complaint together, so that you are still satisfied with the treatment and the final result.

3. If you are nevertheless not satisfied with the outcome, you can at any time submit your complaint to the independent disputes committee to which we as a clinic are affiliated.

4. According to the Quality, Complaints and Disputes in Healthcare Act (Wkkgz), healthcare providers (such as Hairtec Hair Clinic) must be affiliated with an independent disputes committee recognised by the Minister of Health. This gives you as a patient the possibility and certainty to submit complaints to the independent disputes committee to which Hairtec Hair Clinic is affiliated at Quasir (www.quasir.nl).

6. This independent disputes committee issues a binding advice or promotes a settlement between you as a patient and Hairtec Hair Clinic.
